DocuSign Setup and Integration

Things to know before you get started:

  • You may not use Native signatures after DocuSign is configured
  • Ensure that there are no Contracts in Pending Signature status. Otherwise you won’t be able to enable “Use DocuSign for signatures”.
  • Also ensure if the contracts in Approved status require signatures, those should be completed before configuring docusign
  • If Contract approval is not enabled, then go to the company info page and enable contract approval first.
  • All new installations will use the new integration method (Single DocuSign service account).
  • The DocuSign microservice URL must be registered within DocuSign

 

  1. Enable DocuSign For e-signatures
    1. 1   Go to Company setup> Enable e-signature

2. Collect all information from DocuSign to be used in the integration

     2.1   Log in into your DocuSign sandbox account

     2.2   Go to the Admin Setting by clicking  on Settings

     2.3   In order to use DocuSign Connect, Connect must be enabled in your DocuSign account. It is not enabled by default.

     2.4   To access the DocuSign Connect page, log in to your DocuSign account with Account Administrator rights. In the navigation pane on the left side of the page, find Connect.

    2.5   On the Connect Configurations page, click ENABLE CONNECT. Connect configurations can now be set up for the account.On the Connect page, select "Add Configuration" and pick "Custom" as the type

      2.6   You need to fill out only two mandatory fields to get started. First is a name for this configuration. The second is the URL endpoint of your instance - https://esign.InstanceURL/provider_response/docusign

      2.7   Click Add

3.   Setup DocuSign in Coupa

      3.1   R30 Onwards : Go to Setup > Integrations > E-Signature Accounts

      3.2   Under E-signature Accounts - click on Link new account .

              3.2.1   Give a name

              3.2.2   Provider - Docusign

              3.2.3   Service Account Email - Email for Docusign Admin account -  The user must belong to a single DocuSign account

              3.2.4   Require sign-in to Docusign to view/edit envelopes If checked, DocuSign application URL for your account must also be provided.·

              3.2.5   When this is enabled, senders only see signed documents to which they have access when they view or edit DocuSign envelopes.

                         

            Otherwise, they see all signed documents available in that account, not just their own.

     3.3   For existing Docusign Integration (Before R30)- Go to Setup > DocuSign Integration

             3.3.1   In the DocuSign Configuration page enter the information that corresponds to your DocuSign admin account

             3.3.2   Single DocuSign service account (recommended) – This is the new easier way to connect to docusign. It connects to a microservice to provide

                        eSignature functionality

             3.3.3   Individual Docusign account for each user – This will be deprecated in future.

             3.3.4   Email for Docusign Admin account -  The user must belong to a single DocuSign account

             3.3.5   Require sign-in to Docusign to view/edit envelopes If checked, DocuSign application URL for your account must also be provided.·

             3.3.6   When this is enabled, senders only see signed documents to which they have access when they view or edit DocuSign envelopes.

 

                   Otherwise, they see all signed documents available in that account, not just their own.

4.   Link your Coupa Account and DocuSign account to be able to use the integration

          4.1   Click on Authorize. You will be asked to log in your Docusign account at this point. Once you login, Authentication will be successful.

 

This completes the configuration of DocuSign.

 

Things to know before using the integration :

  • The person who signs the contract does not need a docusign account
  • The supplier email address will be added in docusign after you click on review signatures.
  • You can set up Signatory chains in Coupa to predetermine the signatories to be sent to DocuSign (this is optional)

Test your integration -

On DocuSign side - you should see the status of connect as Active -

Create a contract and send for signatures. After contract status is completed in Coupa, Check the logs in docusign -

 FAQS -

How do I resolve a "remote server refused connection" error in Connect?

The error message displayed in the Connect failure log is the response from the uri that has been provided via your Connect objects. A few potential points of failure could be:

  1. The URI is invalid. Make sure to double check your Connect object to ensure there are no typos in the “URL To Publish” section of your Connect object. The required protocol for the URI is https.
  2. The server housing the listener has rejected the connection attempt. This most commonly happens when the IP ranges for DocuSign Connect have not been added to the allowlist on the server’s firewall. Please see IP Range List for more details.
  3. Most often, if a listener is unable to process a payload you will receive a message stating that a 500 (Internal Server) error has occurred. In some cases, this situation will also result in a refused connection. The best practice is to update the listener’s XML Schema: https://www.docusign.net/api/3.0/schema/dsx.xsd ‐ specifically the EnvelopeStatus and DocumentPDF objects. You may also want to check your listener to ensure that it can receive files over a certain size. DocuSign PDFs can range from a few KB to 25+MB. Your listener will need to handle the full spectrum.
