Read through each of the dashboards to see how to Optimize your usage of Coupa:
The main dashboard displays your spend, savings, and key budgets. Use this dashboard to evaluate your overall Coupa spend.
When looking at the spend portlet and the forecast algorithm, you can ask yourself if there are trends in our spend that I should review? You can use the Forecast feature to gain key insights into what your predicted spend will look like 6 months into the future. That data will help you better understand how well you have planned for the upcoming fiscal year(s). Keeping tabs on your spend levels during the month, is also important for organizations with very tight margins, you can utilize the spend alerts to be proactively notified when spend across the organization hits a certain threshold.
The savings dashboard describes how you're saving with your Coupa implementation. Check out Savings Programs for more info.
The budget portlet shows you a list of key budgets and the performance relative to the budget overall. Setting up budgets is a common way to better control your spend by providing visibility to your users on where they stand within their budget at any point in time. Not only do you have access to the budget information in the dashboard, but it's available on the home page when you login to Coupa and you are the budget owner, but also whenever someone is creating a requisition, we will show you the remaining budget. Budgets are a powerful way to keep control of overruns and hold business owners accountable. Just like with the spend portlet, you can also set up alerts to proactively notify specific users when the budget has hit a specific threshold.
The spend performance dashboard provides you with an instant view of the who, what, and how of your spend.
In the type portlet, you can see which of the percentages for each of the five ways (Catalog, iRequest, Punchout, Free-Form, and Web-Form) of requisition creation in Coupa.
First, you should review your free-form percentage. Are there opportunities to move this spend to catalog, punchout, or web-form? Is iRequest helping our sourcing efforts? Are people not using the punchouts that are setup? Are there training opportunities that we should review?
The supplier portlet displays by supplier over a few intervals your spend. As you can these intervals, you should be asking yourself if you should be consolidating the spend to a particular supplier? Have there been any recent trends in the movement of spend? Are there opportunities for negotiation from that movement?
The commodity portlet shows you what you're spending across your commodity over intervals. This information can be used to determine if your organization is spending in the areas that you anticipated.
Finance departments are constantly targeting ways to improve the management of your organization's working capital.
In a glance, the liquidity dashboards provides a snapshot of areas to focus your attention and a glimpse of the progress you have made.
In the dashboard, you can see throughout your Coupa spend what payment terms you're getting over a particular interval. The power of this information is seeing it in a glance without having to review countless reports. With this real time visibility you can now evaluate how much cash you can potentially put back into working capital by working with suppliers to achieve more favorable payment terms. If you have a bit of volume at Net 15, it may be worthwhile to switch it to 2/10 Net 30 to get the 2% discount and still pay your vendors as fast. Or better yet, move them to Net 45, thus preserving as much cash in order to fund top line revenue projects.
There is nothing more that will make you the hero of your organization by not only reducing costs, but by also working on financial terms to help with cash flow!
Critical to optimizing your usage of Coupa is managing your suppliers with the data you track on your suppliers. In Coupa, you're creating invaluable data in real-time.
In the supplier performance dashboard, you can track delivery performance, supplier ratings, and over-invoicing.
This information can help you in multiple ways. First and foremost this information can be used in your supplier management efforts. You can use this information to drive better deals with your suppliers during negotiations. In addition, you can also reward high-performing suppliers by steering additional business towards them.
Secondarily, you also are providing your users a sense of ownership in the procurement process. By allowing them to provide feedback to Procurement on the suppliers that they are doing business with through supplier ratings, it gives them a structured outlet to provide positive and constructive feedback to your organization. This information is not only valuable for strategic sourcing initiatives but you can also use it to let your users know that you are listening!
