Create Entities and Entity Groups

In Coupa Treasury, any entity involved in a transaction is a participant.

Entities are members of your corporate group. It is important to remember that all entities are participants, but not all participants are entities. For example, banks are also participants because they participate in financial activities. They are not entities, however, since they are not part of your corporate group.

Entity groups allow you to grant users access to multiple entities or run reports for several entities at once.

Create an Entity

Click the New button to open the Participants pop-up window.

Set Int/Ext to Internal. This specifies that the entity exists within your corporate group.

Add an Abbreviation and Name for the entity.

Select a Country and Local Currency for the entity from the drop-down menus.

Check the Entity check-boxes for any modules where it should be active. To see the pages in Coupa Treasury associated with each classic module, click the Information button information_button.png.

Once you have configured the entity as needed, click the Save button to create it.

If you forget to check anything at this stage, you can always edit the participant later. Go to Participants, filter for internal participants, and click the row number to edit it.

Entity Groups (classic)

Entity groups are a valuable tool for reporting and assigning user rights. They also make it easier to filter results in Coupa Treasury. For example, you should always have a master group for all your entities. Your global admin should have access to this group, since it gives the admin access to all member companies within your corporate group.

You can create entity groups to match your corporate structure. For example, many customers have regional groups, such as Europe, Asia, or North America.

Create an Entity Group

Click the New button to create a new entity group. 

In the Entity Group pop-up window, enter an Abbreviation and a Name for the group. Activate the check-box for any module where you intend to use the group.

Check Reporting Group if you want to be able to filter for this group when running reports in Coupa Treasury.

Check User Rights Group if you want to use this group to assign access to users.

Under Group Member of, check the box for any entity to include it in the group. Entities must be active for the same modules as the entity group.

After assigning members to the group, click the Save button to create the group.

 

With your corporate entities configured, the next step is to enter Banks and Accounts.
