CCW Statuses and What They Mean

Introduction

CCW uses a number of different terms to help you identify the status of your Requisitions, Candidates, Timesheets and more. Following is a list of these statuses and their definitions:

Requisition statuses

Status Description
Open The requisition has been submitted to suppliers and suppliers should now be submitting candidates for consideration.
New The requisition has been created and submitted through the required approval process. The requisition will remain in this status until all approvals have been received and the requisition has been broadcast to selected suppliers.
Filled There is an offer to hire (OTH) issued to the number of candidates (resources) originally requested by the manager.
Interviewing A request for an interview has been issued for at least one candidate that has been submitted to the requisition.
Closed for Submission The supplier cannot submit any New candidates to this requisition. All candidates that have been previously submitted will continue through the candidate process. All actions can be completed on submitted candidates when the requisition has been closed for submission.
Closed The requisition is closed for further processing because all resources have been successfully onboarded. The manager can request the requisition be closed as needed. A closed requisition can only be accessed through the Search Requisitions action.

Requisition Queue statuses

Status Description
Submitted to (name or functional group) for approval The requisition has been created and submitted through the required approval process. The name of the current approver/functional group will be listed.
Approve ([Submitted to name or functional group] for approval) The requisition has been created and submitted through the required approval process. The name of the current approver/functional group will be listed.
Submitted for Approvals The requisition has been created and submitted through the required approval process.
Submitted to MSP All required approvals have been completed and the requisition is ready to be broadcast to the desired suppliers.
Approve (Submitted to MSP) All required approvals have been completed and the requisition is ready to be broadcast to the desired suppliers.
Requisition is open for supplier(s) The requisition has been broadcast to suppliers. Suppliers should now be submitting candidates to this requisition for consideration.
Edit (Submitted to [name or functional group] for approval) The requisition been edited to change the number of requested resources, work location, manager, etc. and has been submitted through the required approval process.
Requeued and Submitted to (name or functional group) The requisition has been requeued to add, delete, or change approvers to the required process. The name of the current approver/functional group will be listed.
Rejected and submitted to (name) The requisition has been rejected by one of the required approvers and sent back to the manager for further action.
Status Change The MSP has changed the status of the requisition, if updates are needed. Check the Requisition Status column for the current status.
Re-Open Requisition The requisition has been re-opened (from a Closed status), as requested by the manager, to receive additional candidates for consideration.

Candidate statuses

Status Description
Submitted to MSP The supplier has submitted the candidate to the requisition, and the MSP will do the initial vetting to determine if the candidate meets the manager’s minimum hiring requirements.
Submitted to Manager The Program Administrator has completed the initial vetting and submitted the candidate to the manager for consideration.
Candidate Interviewing An interview has been requested for the candidate.
Candidate Rejected The candidate has been rejected from the specified requisition.
Candidate Withdrawn The supplier has withdrawn the candidate from the specified requisition.
Re-submit Requested A request for this candidate to be resubmitted to the requisition; for example, to ask for additional details about the candidate’s background (skills, education, work experience, etc.)
Submitted for Approvals This candidate has been submitted through the required candidate approval process, if required.
OTH Issued An offer-to-hire (OTH) has been issued for this candidate. The Program Administrator must now extend the OTH to the supplier.
OTH Extended The Program Administrator has verified all information and extended the offer-to-hire to the supplier for communication to the candidate.
OTH Accepted The supplier has accepted the offer-to-hire per the candidate’s approval.
OTH Rejected The supplier has rejected the offer-to-hire per the candidate’s direction.
OTH Withdrawn The Program Administrator has withdrawn the offer-to-hire for this candidate; typically at the direction of the manager.
Onboarding Started The offer-to-hire for this candidate has been accepted and the onboarding process has been triggered.
WO Issued The Program Administrator has issued the work order (WO) to the supplier to communicate with the candidate.
WO Accepted The supplier has accepted the work order on behalf of the candidate.
WO Rejected The supplier has rejected the work order on behalf of the candidate.
WO Cancelled The candidate’s work order has been cancelled.

Onboarding Document statuses

Status Description
In Progress The initial status that will populate when the onboarding process is triggered.
Pending The item has been assigned to the candidate but has not been returned to the supplier.
Submitted The completed document has been returned to the supplier and uploaded into the tool.
More Information Required The document has been returned to the supplier. Additional information is required based on the candidate’s responses.
Incomplete The document has been returned to the supplier because the information was not completed as expected.
Completed The Program Administrator, or the Supplier, has confirmed that all required information on the document has been completed correctly.

Onboarding Compliance statuses

Status Description
Initiated 1, 2 This starts the compliance documentation process in the tool.
Results Received 3 The candidate has completed the required compliance documentation or screening and the supplier has received the results.
Incomplete The initial results for the candidate’s compliance item has been received, but the information is incomplete or needs further screening.
Complete The Program Administrator, or the Supplier, has confirmed that all required steps in the compliance process are complete.

Timesheet statuses

Status Description
Missing The contingent worker has not created a timesheet for the specified week.
In Progress A timesheet has been created for the specified week, however, the hours have not been completed for all days worked in the week and/or the timesheet has not been submitted to the manager for approval.
Submit for Approval The timesheet has been submitted to the manager for approval.
Rejected The timesheet has been rejected and must be updated and resubmitted to the manager for approval.
Approved The timesheet has been fully approved by the manager and submitted for invoicing.

Expense statuses

Status Description
New The contingent worker has created an expense report, but has not submitted the expense for proper approval.
Submitted to MSP The expense has been submitted to the Program Administrator for pre-approval prior to the final approver by the manager.
Approved by MSP The Program Administrator has completed the pre-approval. Once the Program Administrator has completed their approval, the expense report must be submitted to the customer.
Rejected by MSP The expense has been rejected and must be resubmitted by the contingent worker, if applicable, for proper approval.
Submitted to Customer The Program Administrator has completed their pre-approval and sent the expense report to the customer for final approval, or the contingent worker has submitted the expense report directly to the customer for approval.
Approved by Customer The manager has approved the expense and submitted it for invoicing.
Rejected by Customer The manager has rejected the expense which must be resubmitted by the contingent worker, if applicable, for proper approval.
Invoiced The expense report has been fully approved, and has been invoiced for payment.
Paid Expense has been marked as fully paid.
All This will show all expense reports that the user has access to, regardless of their status.

Search CW statuses

Status Description
Onboarding Complete All onboarding functions have been completed, worker has been confirmed, and worker should be on-site providing contracted services to client.
New Extension A new contract extension has been requested for this worker. The request is either in the approval process or ready to be processed by the Program Administrator.
Extension Cancelled The requested contract extension has been cancelled.
Extension Complete The requested contract extension has been fully approved and the Program Administrator has completed final processing, including notification to the supplier.
New Rate Change A new rate change has been requested for this worker. The request is either in the approval process or ready to be processed by the Program Administrator.
Rate Change Cancelled The requested rate change has been cancelled.
Rate Change Complete The requested rate change has been fully approved and the Program Administrator has completed final processing, including notification to the supplier.
New Release A new release has been requested for this worker and is awaiting processing by the Program Administrator.
Release Cancelled The requested release has been cancelled.
Release Complete The requested release for the worker has been fully processed by the Program Administrator.
New Update CW An update requiring approvals has been entered for this worker and is awaiting proper approval(s).
Update CW Cancelled The requested update for this worker has been cancelled.
Update CW Complete The requested update for this worker has been fully approved and the changes are now reflected in the worker’s profile.

Extension in Progress statuses

Status Description
Submitted for Approval (Submitted to [name] for approval) A contract extension has been requested and the person or function group responsible for the next action will be listed.
Rejected and Submitted to (name) A required approver has rejected the requested contract extension and queued this back to the manager.
CW Extension Submitted to MSP The contract extension has been fully approved and is ready for the Program Administrator to notify the supplier and complete final processing.

Rate Change in Progress statuses

Status Description
Submitted for Approval (Submitted to [name] for approval) A rate change has been requested and submitted for required approvals. The person or function group responsible for the next action will be listed.
Reject Rate Change A required approver has rejected the requested rate change and queued this back to the manager.
CW Rate Change Submitted to MSP The rate change has been fully approved and is ready for the Program Administrator to notify the supplier and complete final processing.
Rate Change Notify Supplier The rate change has been shared with the supplier. Based on internal processes, the supplier may have the opportunity to approve or reject the requested rate change after conferring with the worker. The rate change is awaiting final processing by the Program Administrator.

Termination in Progress statuses

Status Description
CW Release Requested Submitted to MSP A release of contract has been requested for this worker and is awaiting final processing by the Program Administrator.

Update CW Information in Progress statuses

Status Description
Submitted to (name) for Approval An update to the worker’s profile has been requested and submitted for approval, if required. The person or function group responsible for the next action will be listed.
Rejected and Submitted to (name) The requested update to the worker’s profile has been rejected and this has been queued back to the manager.

Notes

  1. Initiating the compliance item in the tool does not start an automated process to notify the candidate of the need to complete the information.
  2. The Supplier must follow the guidelines provided by the client to gather and process the required compliance items.
  3. Only the pass/fail results will be stored in the tool unless there is a client requirement that mandates a copy of the results be uploaded.
