Program Export and Import

Risk Assess programs may be exported or imported via XML file from within the Program Export/Import page.  In addition to the program configuration, this functionality exports the program component definitions that are associated with the program to an xml formatted file that may be used to import the program definition into a target system.  This feature provides an option on the program import to allow the user to specify whether or not to update or overwrite existing program components.

The process for exporting a program is:

  1. Navigate to the Admin tab – Program Export/Import.
  2. Locate the Program Export section.
  3. Select a program type from the dropdown list.
  4. Select a program name from the dropdown list.
  5. Click Export to export the program to an XML file.
  6. Review the Export Status section if errors are returned during the export.

The process for importing a program is:

  1. Navigate to the Admin tab – Program Export/Import.
  2. Locate the Program Import section.
  3. Select a program type from the dropdown list.
  4. Make your other dropdown box selections.
  5. Choose the program XML you want to upload by click the “browse” button.
  6. Click Import to import the program to an XML file.
  7. Review the Import Status section if errors are returned during the import.

The newly imported program is now available to the user under the Programs tab or on the specific Relationships tab page.

To create Organizations that are referenced in the source system (and therefore included in the program configuration in the XML), select “Yes” from the selection list for Create Missing Organizations.  If this option is set to no, and the organization does not exist the import utility will fail on import and the user must create the organization or correct the XML.

To create Section that are referenced in the source system (and therefore included in the program configuration in the XML), select “Yes” from the selection list for Create Missing Sections/Perf Categories.  If this option is set to no, and the section does not exist the import utility will warn on import and default the sections to the section that is alphabetically first in the list of existing sections.

Check Overwrite Component Settings?  to configure the import to update the configuration for existing program components.  When this check box is selected, existing components are updated based on the configuration in the import file. Also, if the component is found to be in the library and the update flag is set, the component status will be set to active regardless of the current setting in the library. The data updated includes the following:

Program type of component

  • Coupa Category Family of component
  • Coupa Category of the component
  • Program Category
  • Display Name
  • All component parameters
  • Component type
  • Reporting column name
  • Default value

Because linked components link to programs and we cannot be guaranteed that the program exists in the target environment, therefore the configuration options for these components are not carried forward with the import process.   The user needs to go into the component library and update the links post import. Please refer to the Program Components Reference Guide for details on which components require reconfiguring on import. The configuration for these component types must be updated following migration.

The following components (when attached to a line item) can also be exported/imported.  Standard fields are not supported. NOTE: components marked Internal Only are not exported/imported to external evaluators.

By exporting and importing a program back to the same tenant environment, the application will create a duplicate/copy of the program in draft status instead of updating the original program.
