Quick Action Plans

Quick Action Plans (QAP) are a supplemental feature for Action Plans. Included in this feature are:

  • A shortened form that collapses the 4-page wizard into a single page
  • The inclusion of the action plan status indicator on the Dashboard
  • Object associations and the ability to capture notes and comments in-line in the action plan

Action Plans can be created on entire programs (both supplier and relationship-based) or for specific line items within a program that require attention. Action plans can also be created from the program workbench or from within the scorecard during the review and approval process. To facilitate user input, the Action Plan Wizard has been collapsed to a single form that includes notes and attachments.

Configuring Quick Action Plans

To create an action plan directly from the Approvals grid of the Home tab:

  1. Navigate to the Home tab.
  2. Click on the Show Me All link under the Approvals section.
  3. Click the Action Plans Icon CRA - Action Plans Icon.png located on the grid line of the approval. Refer to the appropriate Program Wizard on how to disable this function.
  4. Complete the required fields.
  5. Click the Save button to activate the action plan.

To create an action plan for an individual program line item:

  1. Navigate to the Home tab.
  2. Click on the correct evaluation or approval from the grid; the evaluation/approval displays.
  3. Click the Action Plans Icon CRA - Action Plans Icon.png located on the line item of the evaluation and approval. Repeat this step for each line item if necessary. Refer to the appropriate Program Wizard on how to disable this function.
  4. Complete the required fields.
  5. Click the Save button to activate the action plan.

To create an Action Plan for an open evaluation prior to assessment completion:

  1. Navigate to the approval that is not yet in Completed status.
  2. Click the the Action Plans Link CRA - Action Plans Icon.png located at the header of the assessment.
  3. Complete the required fields.
  4. Click the Save button to activate the action plan.

Required fields are marked with an asterisk (*).

  1. Select the user who is responsible for managing this action plan (Initiator).
  2. Select the appropriate workflow status of the action item (Status).
  3. Select the appropriate user to complete the action plan (Assigned To).
  4. Select the priority for completing the action plan item(s). The Priority dropdown list is populated with active action plan priorities found under Setup Data Management > ActionPlanPriority.
  5. Select the assignment type (Assignment): Supplier or Internal. NOTE: selecting Supplier will populate Assigned To with supplier users. Selecting Internal will populate Assigned To with internal Client users.
  6. Enter the date the action plan should be completed (Due Date).
  7. Select the internal Client user who is responsible for approving the action plan (Approver).
  8. Enter the details of the action plan (Action Item Description); this is auto-populated with the KPI line item description.
  9. Click the Save button to submit the action plan.
  • Clicking the Save button submits the action item and automatically changes the status to "In Progress."
  • Click the Detailed Action Plan button to access the existing Action Plan Wizard.

The Action Plan is active and displays in the Available Action Items grid. It is also available in the Action Plans section of the Home tab.

Action Plan Status Indicator

An Action Plan status indicator is included on the standard evaluation, approval and action items dashboards and the action plan association on the supplier, relationship, and program history associations. The status indicator provides the ability to easily determine:

  • If there are open action items on an evaluation/approval before reviewing and approving the evaluation
  • The status of action items that are being tracked on suppliers, relationships and/or programs
  • The status of action plans from within the evaluation/approval form

A new column for 'Action Status' is included in the evaluation, approval and action plans grids on the Home tab and also the action plans association under the supplier, relationship or program history objects.

Each action icon displays according to the action item status in the action plan collection.

  • If a user does not have Create rights on an approval or a collection, then the action status column will not display on their dashboard.
  • If a program is set up to “Prevent In Line Action Plans” the icons will display, along with their correct status, but the functionality will not be enabled.
