Risk Assess Resources

The Resources tab is very powerful as it allows the Client to share valuable information including documents and templates with Client teams, suppliers and even other Coupa Clients.  

There are three levels to the Resources. 

  • Coupa:  is viewed by any user associated with Coupa.

  • Client:  is only viewed by the client and its users.

  • Workspace communities:  are only viewed by the owner/members of a particular workspace.

Suppliers and relationships are automatically subscribed to the Resources including Forums and Libraries.  Access to the forum/library of any supplier or relationship can be done via Supplier Management or Relationship Management.

There are three types of forums and libraries:

  • Enterprise Program forums/libraries which support communication and interaction among all client users and any supplier users that have been enrolled in the program.
  • Supplier forums/libraries which support communication and interaction among all client users and any user associated with the supplier.
  • Relationship forums/libraries which support and interaction among all client users and any supplier user that is established under the supplier associated with the relationship.

Client vs. Coupa

There are two sections under Forums and Libraries:

  • Client: is used to communicate and share information between the Client user and Supplier user.  This forum is available to internal and external users associated with the Client.

  • Coupa: is used to communicate and share information between all users of the Risk Assess application.  These forums are a great way for Clients to hear from Coupa regarding new and exciting functionality and news.  

Forums

Forums can contain threaded conversations between Client & Supplier or Coupa.  Forums can be used to create discussions within an organization, with suppliers or with other Coupa customers.  

The supplier, enterprise program and relationship forums are automatically generated when a supplier or program is created.  Once created, users can add threads to those forums, and those threads can be accessed thru the Resources tab, or thru the supplier record.  Each user can assign their own rating and the system will average them all to give an overall rating to each thread. This also applies to documents and other content.

Company Specific Forums

Within this category of forums General forums can be initiated, which allow all users, both client and suppliers to communicate.  

Viewing Company Specific Forums

To view the company specific forums:

  1. Navigate to the Resources tab.

  2. Click on the “tenant name” FORUM header.  

Replying to Company Specific Forums

To reply to a company specific forum:

  1. Scroll down to the forum to which you want to reply.  Click next to the forum.

  2. Enter a reply.

  3. Click to post your reply to the discussion thread.

Managing Company Specific Forums

To create a company specific forum:

  1. Navigate to the Resources tab.

  2. Click on the “tenant name” FORUM header.  

  3. Click.

  4. The Forum Management page will display.  Click.

  5. Enter data in all the required fields and any option fields you would like.

  6. Click to save the forum.

  • Only users with the proper permissions will be able to create new forums.
  • When replying you can use the Quote button to add the text of the thread you’re replying to; you can use the word processing capability to edit your text and you can even upload multiple attachments
  • You can also attach a tag to your post.  You can create your own new tag, or select from the list of existing tags.  The tag words will appear on the dashboard and when you click on the tag this thread will now show in the search result. 

Coupa Forums

Coupa Forums work the same way as the client-specific forums, except that all threads can be viewed by all Coupa customers.  This is a great way to share best practices with other customers.

Viewing Coupa Forums

To view the Coupa forums:

  1. Navigate to the Resources tab.

  2. Click on the “tenant name” (client) FORUM header.  

Replying to Coupa Forums

To reply to Coupa forum:

  1. Scroll down to the forum to which you want to reply.  Click next to the forum.

  2. The Compose page will display.  Enter a reply.

  3. Click to post your reply to the discussion thread.

Libraries

Libraries provide an infrastructure to share documents amongst clients and their suppliers and with other Coupa clients through the Coupa library. There are libraries specific to Relationships, Suppliers and Enterprise Programs.  There are also a general library and a reporting library. With each type of library comes a level of security. For example, like forums, entries in the Supplier library can be viewed by all client users and any user associated with that supplier. We can also see that you have the ability to make a library inactive.  Users the ability to download the document, see who originally posted it and rate it by clicking on the number of stars they give it.   

Documents can also be rated, which over time could be very helpful as more and more customers share their Coupa successes.

Company Specific Libraries

Viewing Company Specific Libraries

To view the company specific libraries:

  1. Navigate to the Resources tab.

  2. Click on the “tenant name” (client) LIBRARY header.  

Posting to a Company Specific Library

To post a document to a company specific library:

  1. Scroll down to the library to which you want to add the document.  Select.

  2. The Compose page will display.  Browse to find the file, add a short and expanded description, and any TAGS you want to assign to attachment document.

  1. Click to post your document to the library.

  • Click.

  • The Library Management page will display.  Click.

  • Enter data in all the required fields and any option fields you would like.

  • Click to save the library.

 

Only users with the proper permissions will be able to create new libraries.

Coupa Libraries

The Coupa Library is a place to post and exchange documents with other Coupa customers.  For example you may have an article, project overview or best practices document you want to share, and this would be the place to post it.  Hopefully other customers do the same so you can take advantage of their experience and findings.

Viewing Coupa Libraries

To view the company specific libraries:

  1. Navigate to the Resources tab.

  2. Click on the “tenant name” (client) LIBRARY header.  

Posting to a Company Specific Library

To post a document to a company specific library:

  1. Scroll down to the library to which you want to add the document.  Select.

  2. The Compose page will display.  Browse to find the file, add a short and expanded description, and any TAGS you want to assign to attachment document.

  3. Click to post your document to the library.

Actionable Content

The Actionable Content library is a special part of the Resources that is designed to allow customers to share best practices application data.  Users can post performance and compliance templates that can later be shared with other users. Templates can be downloaded directly into the client template, without having to save it and then upload it.  Documents can also be rated, which over time could be very helpful as more and more customers share their Coupa successes.

Several actions can be taken from within the Actionable Content section.

  • Rate this thread:  allows a user to rate the importance of a forum post

  • Edit tags:  allows a user to edit the tags associated with a forum post

  • Add comments:  allows a user to associate comments to a document

  • Downloads:  allows a user to download a document and shows the number of times a document has been downloaded

Viewing Templates

In addition to the name of the template we can see the author, any associated rating and how many times it’s been downloaded from the library.

  1. Navigate to the Resources tab.

  2. Click on the Coupa Resources Actionable Content header.  

  3. Scroll down to the document that you would like to view.  Select the document.

  4. The template page will display.

Rating the Thread, Adding Comments and Tag

  1. Click on the number of stars you would rate the template.

  2. Enter Comments.

  3. Create a tag.

Downloading the Document

Click to download the template to the client template library.

Those with program administrator rights will be able to post templates to the actionable content library, and edit those that are downloaded.  This seamless integration will allow you easily check out other best practice templates posted by other Coupa customers.
